Data Deletion Instructions

Your Right to Delete Your Data

You have the right to request the deletion of any personal information Kima holds about you. This includes contact details, business information, and any data collected during consultations or project engagements.

We will process all valid deletion requests within 30 days of receipt.

What We Can Delete

Upon a verified request, we will delete:

  • Your name, email address, phone number, and business details;
  • Notes and records from consultation calls and project discussions;
  • Any files or documents you shared with us during an engagement;
  • Your contact entry from our communication tools and CRM.

What We May Retain

In some cases we are required or permitted to retain certain information even after a deletion request:

  • Financial records — invoices and payment records are retained for a minimum of 7 years as required by Canadian tax law;
  • Legal obligations — information we are required to keep by law or regulation;
  • Anonymised data — data that has been fully de-identified and can no longer be linked to you.

How to Submit a Deletion Request

To request deletion of your data, send an email to:

Use the subject line: Data Deletion Request

Please include the following in your message so we can locate and verify your records:

  • Your full name;
  • The email address associated with your Kima account or consultation;
  • Your business name (if applicable);
  • A brief description of the data you'd like deleted.

Verification

To protect your privacy, we may ask you to verify your identity before processing your request. We will only action requests from, or on behalf of, the individual whose data is being deleted.

Confirmation

Once your data has been deleted, we will send you a confirmation email. If we are unable to fulfil part of your request — for example, due to a legal retention requirement — we will explain which data we are keeping and why.
